Updated SiteManager Material Excel Test files

Dear SiteManager Material User,

Your TxDOT SiteManager Excel test files have been updated and are available now on your TxDOT website. Most notably this update includes a migration of all files to the newer Microsoft 2007+ macro enabled file extension .xlsm.

The request to distribute these updated files was sent through the IT distribution labyrinth at the first of May. The files were quickly distributed to the txdot website, but they have yet to be distributed to your statewide x:\apps\smgr\sm3x\msexceltemplates\ directory. Instead of retracting the web files until a time when IT can push the files to your servers, we have decided to continue moving forward.

What does this means for you? The impact can be summarized in one word – Importing. If you frequently import into SiteManager test data from a saved file, you’ll want to read the exceptions below. These exceptions are linked to the new XLSM files only*. The older XLS files will continue without error to import today and after these updated XLSM files are distributed to your x:\APPS directory.

When or if a contractor or commercial lab begins using the xlsm files you’ll want to read and understand these exceptions for importing the test data:

·         Terminal Server for SiteManager

·         This is the recommended option. Currently there are no issues with this platform.

·         Non-Inspector SiteManager

·         Importing: Pending an update to your network APPS directory, the new XLSM files will not import into the client Non-Inspector SiteManager version. The workaround is to use the Terminal Servers for SiteManager.

·         SiteManager Citrix

·         Importing: Pending an update to the actual Citrix servers which is slated for July, the new XLSM files will not import on the SiteManager Citrix.  The workaround is to email the files to be imported to CST_SITEMANAGER@txdot.gov. We’ll revert them to a version acceptable to the Citrix server and return them to you.

These exceptions are linked to the new XLSM files only.

A follow-up will be sent when the distribution to your local X:\APPS directory is complete. As of right now we do not have an estimated distribution date.

*Note – Reverting a newer XLSM file to a previous version by saving it as a 97-2003 XLS file type will not resolve the import error.

Thank you,

Subject: SiteManager Estimate Approval/Rejection - CONSTOFF role

Greetings,

You may already be aware that District CST/MNT Office Staff role (CONSTOFF) cannot currently approve estimates in SiteManager. This is a temporary issue and we expect to have a resolution quickly. When logged in with the CONSTOFF role, users will receive a message similar to the message below when opening the Estimate Approval or Rejection windows.

A possible workaround could be to skip the CONSTOFF approval for the next higher level if one exists. If CONSTOFF is the highest level, you have two choices. Wait for the fix (E.T.A. expected to be hours not days) or contact us and we can reject the estimate so new temporary approval levels that do not include the CONSTOFF role can be assigned.

We will notify you again when the issue is resolved.

SiteManager Report Server - Emails

Greetings,

The SiteManager Report server is currently unable to reliably email reports. IT is working to resolve the issue.

There are several report servers and one or more of them is unable to send emails due to an ongoing issue.  The server processing your request determines whether or not you receive an email. Until further notice, please use the “View in web”  option when requesting reports.

We have no expectation that IT will restore previously requested and undelivered emails. Please re-request undelivered reports using the “View in web” option.

RE: SiteManager Terminal Servers and DWR Summary Report

Greetings

IT has succesfully installed the Micorsoft Office 2010 suite on the SiteManager terminal servers.

This information only applies to the DWR Summary report on the terminal servers for SiteManager.

The first time you access the DWR summary report on each of the three SiteManager terminal servers, now running Access 2010 ,you will be greeted with the message below. As you logon to the different servers during the day or week (TXDOT-TS1x, TXDOT-TS2, or TXDOT-TS3), you‘ll be asked to do this once for each.

Follow these two steps to navigate the security features and enable the DWR Summary macros.

1.       Macro security dialog box that prevents auto execution of the report’s macros. Choose the “Stop All Macros” option

2.       Next click on “Enable Content” button displayed with the security warning ribbon.

Thank you

Subject: SiteManager Terminal Servers and DWR Summary Report

IT is helping us update the SiteManager terminal servers to the office 2010 suite. In doing so they mistakenly removed Microsoft Access.

Until the three servers have MS Access restored the DWR Summary report will not open. Currently a request to view the report on the terminal server will result in a dialog screen that splashes a download status that ends with a successful download and no open report.

The workaround will be to access your local DWR Summary available through the XM shortcut. If you need assistance with this please reply to this email our phone our CMISD help desk. - (512) 416-2553

SiteManager Key Dates - BRIDGE

Greetings,

The Bridge Division has moved to another method of collecting bridge opening, closing and clearance dates. The requirement outlined in the CST December 2010 memo to collect this data in SiteManager has now come to an end. CST or BRG will formally document this improvement in a new memo, but we want to informally notify you now of this change so you are familiar with the adjustments made recently in SiteManager.

No longer will you see the 78 different ‘bridge’ key dates listed as a key date type in the key date window**. Due to this removal, previous bridge key date records will not display a description. In their place you’ll see four character string similar to ‘XX01’ or ‘XX78’. Also, an open, close, or clearance description has been included with the ‘Message Text’ of the key date event (see picture below). Everything else remains intact and untouched.

Many of you that have diligently documented these events may, upon reading this note, have a sudden urge to do a little dance. We think that’s ok.

Thank you

UPDATE:

IT ran into issue this weekend while performing the migration over to the Austin Data Center (ADC).

SiteManager and EPRS did not come up Sunday evening as scheduled and the migration to ADC had to be halted and reverted back to Camp Hubbard.

About midafternoon yesterday SiteManager and EPRS were back online.

For some time this weekend the SiteManager application and EPRS website were prematurely made available for use. Before all testing had been completed, and before it had been determined that there was an issue that warranted the return to Camp Hubbard, users of both systems recorded data. These updates are currently unavailable.

Affected users have been notified of the issue via email. I’ve asked them to gives us an opportunity to review the missing data and see what can be returned.
